Read each query twice. Note the metric number, the year, the value you gave and the value the reviewer suggests. Do not start writing yet. First, be sure you understand what is being asked. Group similar queries together. Often one missing file causes three queries.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Step_2_Build_a_response_tracker\"><\/span>Step 2: Build a response tracker<span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Make one simple sheet. Use these columns: metric number, query, owner, proof needed, status and deadline. This single sheet will run your whole team. Update it every day. Mark each row red, amber or green. Share it with the principal.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Step_3_Assign_owners_and_set_deadlines\"><\/span>Step 3: Assign owners and set deadlines<span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Give every metric one owner. Admission data goes to the admission office. Placement data goes to the placement cell. Research data goes to the research cell. The IQAC coordinator tracks all of it. Set your internal deadline a few days before the NAAC date. This gives you time to fix surprises. NAAC publishes a list of expected documents for each metric. Follow that list first. Here are common examples:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Student numbers:<\/strong> admission registers, university enrolment lists and signed result sheets.<\/li>\n\n\n\n<li><strong>Faculty details:<\/strong> appointment letters, joining reports and salary records.<\/li>\n\n\n\n<li><strong>Research:<\/strong> first pages of papers, journal details, grant or patent letters.<\/li>\n\n\n\n<li><strong>Events and programmes:<\/strong> notice, circular, attendance sheet, report and feedback.<\/li>\n\n\n\n<li><strong>Finance:<\/strong> audited statements and fund utilisation reports.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Proof should be readable, dated and signed by the competent authority. A blurry scan or an unsigned page invites a new query.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Step_5_Fix_file_size_format_and_links\"><\/span>Step 5: Fix file size, format and links<span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">NAAC&#8217;s published SOP says the portal accepts only a limited upload size for each metric. The version we reviewed states 5 MB. Larger files should sit on your college website, with a direct link shared in the response. The SOP also says files on Google Drive, OneDrive or other third-party sites are not considered. Documents in a regional language need a signed English translation. Limits can change, so check the latest SOP before you upload.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Give a direct link to the exact file. A link to your home page does not help the reviewer.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Step_6_Cross-check_numbers_everywhere\"><\/span>Step 6: Cross-check numbers everywhere<span class=\"ez-toc-section-end\"><\/span><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Compare your SSR with the extended profile, AQAR, AISHE, NIRF data, ERP and department files. One mismatch can trigger more queries. Fix the source record, not only the answer. A single clean data source makes this much easier. You can accept the suggested value. You can reject it with proof. Or you can submit a new value with proof. Accept when your own record shows you were wrong. Reject only when your documents clearly support you. Never argue without papers.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Keep every reply short and factual.
